Distribution lists privacy notice

Active Travel England (ATE) holds distribution lists to ensure that our communications reach relevant stakeholders. These communications include engagement with local authority officers regarding active travel schemes, our work as an inspectorate and statutory consultee, and the distribution of our local authority newsletter.

We use Mailchimp to distribute our newsletters, and your personal data will be processed in accordance with both ATE and Mailchimp privacy policies.

The Department for Transport (DfT) and its executive agencies, including Active Travel England, are a single entity (or ‘data controller’) for the purposes of data protection law.

Purpose of processing

We will process your personal data to ensure the ATE communications reach the appropriate stakeholders. The processing of personal data that this entails is necessary for the exercise of our functions as a government department.

We use consent as lawful basis for processing personal data received in relation to the ATE newsletter(s). If you are happy for ATE to use your information for the purpose described above, you will be asked to provide your email address, first name, last name, employer name and job title. By clicking ‘Subscribe’ on our newsletter sign-up form, you are consenting to the processing of this personal data.

You can let us know at any time if you do not wish to remain on our distribution lists, by replying to any email sent by ATE and requesting to be removed from our list. You can also contact us directly to ask for your personal data to be removed, further information on how to contact ATE can be found in our personal information charter.

What data is collected?

For our distribution lists:

  • your name and email address, which we use to contact you; and
  • your job title and organisation, which we use to ensure you receive relevant correspondence.

For our newsletter, we will additionally collect:

  • your email subscription preference (which newsletters you would like to receive); and
  • your subscription status (whether you have subscribed or unsubscribed to newsletters).

Newsletters from Active Travel England contain beacons. A beacon is a small piece of data which tracks whether a newsletter has been received, opened and/or clicked on. This data is used to measure the effectiveness and engagement with our newsletters. 

How long we keep information

Your personal data will be kept by us for the duration of your involvement with ATE and will be stored securely. We will carry out a review of the data at 12 monthly intervals and update changes as necessary.
